How ND Lions Emergency Relief handles the information you share with us.

ND Lions Emergency Relief (“we,” “us,” “our”) is a volunteer-led community response group based in North Dakota. Financial donations are processed through nonprofit partners, including the North Dakota Community Foundation. This page explains what information we collect when you use our website, what we do with it, and the choices you have. We try to keep this short and human.

What you share with us

You only give us information when you choose to — by filling out a form on this site, sending us an email, or making a phone call. The forms collect:

  • Intake form (Alberta Heights, Kirkwood Park): Your name, apartment number, phone number, email if you choose to share it, household size and pets, where you’re staying, medical or equipment needs, and any notes you add. We use this to reach you, place you, and match the right kind of help to your situation.
  • Submit a Receipt form: Your name, email, phone, the disaster you’re affected by, your apartment number, vendor and amount, the receipt photo or PDF, and how you’d like the reimbursement (mailed check or pickup). We use this to review and reimburse expenses related to the fire response.
  • Contact form: Your name, email, subject, and message. We use this to reply to general inquiries and volunteer signups.

Where it goes

Submissions land in a private Google Sheet that our case workers and bookkeeping volunteers review. Receipt photos are stored in a private Google Drive folder owned by ND Lions Emergency Relief. Both are protected by Google account access and only shared with the specific volunteers who need to see them to do their job.

Our website is hosted on WordPress. Standard server logs (IP address, browser type, the page you visited) are kept by our hosting provider for short periods for security and abuse prevention.

Who we share it with

We share your information only with the people and partners directly helping you:

  • Volunteers and case workers on the ND Lions team.
  • Partner agencies we coordinate with on your specific case (e.g., Red Cross, Crisis Care, Salvation Army), only when needed to deliver the help you asked for.
  • Hotel partners where you’re placed — only the booking information they need.

We do not sell your information. We do not share it with advertisers. We do not use it for marketing.

Donations

Donations are processed by the North Dakota Community Foundation through their secure giving page at ndcf.fcsuite.com. NDCF handles your payment information directly under their privacy policy. We never see or store your credit card details. We do receive your name, donation amount, and contact information from NDCF so we can thank you and send a tax receipt.

Cookies and analytics

The site uses minimal cookies — only what’s needed for WordPress to work and for the Facebook feed embed on the Updates page. We do not run third-party advertising trackers. The embedded Facebook feed loads content from Meta and is subject to Meta’s privacy policy.

How long we keep it

Intake and case records are kept for as long as we’re actively coordinating relief for the related fire, plus a reasonable period after the operation closes so we can answer follow-up questions and prepare reporting for funders. Receipts and bookkeeping records are kept for seven years as required for tax and audit purposes.

Your choices

  • See what we have on you. Call 701-791-1797 or email info@ndlionser.com and we’ll send you a copy of what’s in your record.
  • Correct or update. Same — call or email and tell us what to change.
  • Delete. Once your case is closed, ask us to delete your record and we will, except for receipts we’re required by law to keep for tax purposes.

Children

We don’t knowingly collect information directly from children under 13. Intake forms are filled out by the head of household on behalf of the family, including dependents.

Security

We use industry-standard protections: HTTPS on the website, Google account access controls on the spreadsheet and Drive folder, and a small number of trusted volunteers with access. No system is perfectly secure — if you’re sharing something especially sensitive, call us instead of putting it in a form.

Changes to this policy

If we change this policy, we’ll update the date at the top. For any substantive change, we’ll also note it on our Updates page.
